1. Choose a payroll method — In-house or Outsource
You can process payroll in-house, manually or with software, or you can outsource payroll to a payroll service.

Processing payroll manually requires the least amount of direct investment, but is the riskiest and takes the most time. You determine own system to calculate wages and deductions, submit tax deposits, and write and distribute paychecks.

You can also process payroll in-house using payroll software. Most software packages offer varying degrees of support — from providing you with tax tables that will help you make the right deductions to providing you with a direct deposit program. A software package will cost you a few hundred dollars, and you'll have to purchase upgrades when they become available.

Outsourcing is much less time-consuming and risky than processing in-house.  You’ll eliminate the burden of calculating wages and deductions, having to keep up with changing tax regulations, and having to work directly with the IRS if tax notices arise. Accountants may not offer direct deposit and their fees vary greatly.  Outsourcing to a payroll company takes all the payroll burdens off your back, leaving you with only one task — entering payroll hours into an online account, or submitting them on the phone. If you use a payroll provider, make sure to choose a full-service provider that files and pays taxes on your behalf.  Full-service payroll services normally charge a base fee and per-employee fee. 

2. Choose a payroll frequency — Weekly, Biweekly, Semimonthly or Monthly
Next, you need to decide how frequently you will pay employees. You can pay as often as you wish, but most businesses pay weekly, biweekly (every other week), semimonthly (twice a month) or monthly.

Once you’ve decided that, you’ll need to decide your payroll schedule.  For example, if you’re paying weekly, what day of the week? If paying monthly, will you pay on the last Friday of every month? On the 15th of every month?  Consider that you’ll need to figure out how you’re going to run payroll if you are out of the office on scheduled days.  For example, if you’ve chosen to pay employees on the 15th and the 15th falls on a Sunday, will you process payroll early and schedule direct deposit to arrive on Saturday?  Will you have a rule that states that if the 15th falls on a weekend, payroll checks will be passed out on the following Monday? You’ll need to set your ground rules and create a yearly calendar that indicates when you are going to process payroll, and when your employees will get paid. If you work with a full-service payroll provider, you can simply tell them when you want employees to be paid.  They will let you know when deposits are made if the pay day falls on the weekend.

3. Decide how you will pay employees — Direct Deposit or by Check
There are two main ways to pay employees: By check or direct deposit. The most common payroll method these days is direct deposit.  It’s the most efficient method for you or your employees. Your employees don't need to be present at work to collect pay and they don't need to go to the back to cash the check.  It’s convenient for you because you don’t have to fill out paper checks or be present to distribute them.  Many payroll services offer you the ability to receive direct deposit, delivered checks or the ability to create your own checks, in-house.  You may have employees who don’t use a bank account or have an instance to write a spur-of-the-moment bonus check.  In that case, you’ll need the ability to offer both.  If you’re not using a payroll service, upgraded payroll software or an accountant, you will be confined to paying by check.
